The Desk is your feed of everything Swan thinks a person needs to look at or act on. As Swan works — running triggers, chatting, executing sequences — it creates tasks whenever it decides something needs a human decision rather than something it can safely handle on its own.

What a task looks like

Each task has:
  • A title and body describing what needs attention and why.
  • A priority — low, medium, or high — that Swan sets based on how time-sensitive or important it judges the item to be.
  • An assignee — the specific person the task is for. Tasks aren’t a shared unassigned pool; each one has an owner.
  • Optional suggested next actions — quick actions Swan proposes so you don’t have to figure out the next step yourself.
Tasks are usually tied to the company or contact the underlying work was about, and to the run that created them, so you can jump into the fuller context from the task itself. See executions and history for that context.

Resolving vs discarding

A task can be resolved (marked reviewed, meaning you’ve looked at it and dealt with it) or discarded (dismissed without treating it as handled). Either way, the task moves out of your pending queue. Resolving or discarding a task is a queue-management action only — it does not change the underlying company’s stage, sequence enrollment, or any other data. If Swan created the task because a contact is waiting in a sequence, dismissing the task doesn’t stop or change that sequence.

Newer tasks replace older ones for the same company

If Swan creates a new task about a company that already has a pending task assigned to the same person, the older pending task is automatically discarded and replaced by the new one. This keeps your Desk from filling up with several stale, overlapping tasks about the same account — you always see the most current one.

Who sees what

Admins see every task across the org, including ones assigned to other people, and can resolve or discard them on anyone’s behalf. Members only see the tasks assigned to them.

Getting notified about new tasks

Swan can notify you by Slack or email whenever a new task is assigned to you, but both of these are turned off by default — a new task only shows up on your Desk until you turn notifications on. To enable them, go to Settings → Notifications, and turn on Slack and/or email notifications for tasks.

Common questions

Why is my Desk empty even though I know Swan created tasks? Check that you’re looking at the right filter or saved view on the Desk, and confirm the task was actually assigned to you and not a teammate — members only see their own tasks, so a task assigned elsewhere won’t appear for you. Does discarding a task undo anything Swan already did? No. Discarding only removes the task from the queue; it doesn’t reverse any action or change any record. Can I reassign a task to someone else? Yes. Open the task and use the “Switch reviewer” menu to hand it to any teammate in your org — the task moves to their Desk. You don’t need to discard and recreate it. (Only members of your org can be picked.) Why did my task disappear and get replaced by a different one? Swan discards an older pending task about the same company once it creates a newer one for you, so you aren’t juggling multiple overlapping tasks about the same account. How do I turn on Slack or email alerts for new tasks? In Settings → Notifications, turn on the Slack and/or email toggle for task alerts. They’re off by default, so you won’t get pinged until you enable them.
